Privacy policy

The short version

The reference library sets no tracking cookies and asks for nothing. SiteSearch records what guests searched for on your website, reports it back to you, and does not share it with other agencies or use it to promote competing properties.

Controller

Hostinspired Ltd is the data controller for account data and for this website. Contact privacy@hostinspired.com.

For searches made by guests on an agency’s own website, the agency is the controller and we act as their processor.

The reference library

Pages under /resources/ set no analytics or advertising cookies. The leakage calculator runs entirely in your browser; the figures you type are not sent to us unless you deliberately share a receipt link.

Agency accounts

We store, for people who register:

• name, email address and a hashed password;
• organisation name, website domain and verification status;
• a record of significant account actions, for security and support.

Lawful basis: performance of a contract, and our legitimate interest in securing the service.

What we record when a guest searches

For each search made through the widget on an agency website we store:

• the search text the guest typed;
• the structured requirements we understood from it — bedrooms, occupancy, amenities, place, dates, budget;
• how many results were returned, and how many were bookable at a price;
• the date and time, and which agency account the search belongs to.

We do not ask guests for their name, email address or payment details, and the widget does not set advertising cookies or build a cross-site profile of them. We do not store the guest’s IP address against the search record.

Guests should avoid typing personal information into a search box. Where a search text obviously contains personal data, the agency may ask us to delete that record.

What we never do with it

• We do not share one agency’s searches with another agency.
• We do not use your guests’ searches to promote competing properties.
• We do not sell search data.
• We do not feed your search data into the FindStayGo marketplace unless you have chosen to list your properties there.

Processors we use

• OpenAI and OpenRouter — to interpret the meaning of a search. Search text is sent for interpretation and is not used to train their models under our agreements.
• Deepgram — speech to text, only when voice search is enabled and only while a guest is speaking.
• SMTP2GO — transactional email such as verification and password resets.
• Bunny — image storage and delivery for property photos.
• Your property management system — read access to your availability, pricing and property data, at your instruction.

Retention

Search records are kept for 24 months so year-on-year comparison is possible, then deleted. Account records are kept while the account is open and for six years afterwards where needed for tax and legal purposes. You can ask us to delete your search history sooner.

Your rights

You may request access, correction, deletion, restriction or portability of your personal data, and may object to processing based on legitimate interests. Email privacy@hostinspired.com. You can also complain to the Information Commissioner’s Office at ico.org.uk.

Where data is held

Our database and application servers are in the United Kingdom. Some processors listed above operate outside the UK; those transfers rely on the UK international data transfer addendum or equivalent safeguards.

Changes

We will update this page when our processing changes, and will email account holders about anything material.
